A printable cleaning quote for homes and small offices
This page is one blank cleaning quote sheet: the fields a customer needs to see before they agree to the work, with nothing filled in. Print it, write on it, and hand it over, or build the same sheet online and print the finished page.

What has to be on a cleaning quote before it leaves your hands?
Start with your business, the customer's name and the job address, then the date you wrote the sheet and the date it stops being valid. Describe the work in one or two lines: how often, which rooms or which parts of the building, and what a normal visit includes.
The part most people leave off is the exclusions. If the sheet does not cover inside the oven, the inside of windows, or the carpets, say so under the totals. A quote that lists what is not included saves the argument that happens three weeks later. End with how the customer accepts the work and a line for their signature, because a signed sheet reads like a document and not like a text message.
Room by room, hourly, or by the visit?
Match the shape of the sheet to the shape of the job. For recurring work, quote the visit and the frequency, because the same house takes different amounts of time weekly and monthly, and the customer needs to see the rhythm on the sheet. For a one-off deep clean, list the rooms or the areas with a short line of work under each, so the customer can remove a room before they say yes.
Hourly work suits jobs you cannot size in advance, but write the hourly rate on the sheet, say how hours are counted, and give a ceiling in writing before the work starts. Use your own numbers from your last few jobs; what another cleaner charges in another town is not a basis for yours.
When should a cleaning quote ask for a deposit?
Not on every job. A repeat customer who has paid you before usually does not need one. Ask for a deposit when you are holding a slot for a first-time customer, when the job needs supplies or equipment you buy for it, when a large one-off clean blocks out most of a day, or when the address is far enough that a no-show costs you half a day in travel.
Show the deposit as an amount or as a share of the total, say what it covers, and say when the rest is due. The sheet below has a Deposit line and a Balance line for that reason: both numbers sit on the same page, so nobody has to work them out in the driveway.
Should a cleaning quote have an end date?
Yes, and it should be a date, not a promise. Supplies, fuel, travel and how full your calendar is all move, so a quote with no end date is a number you can be held to long after it stopped being true. Pick a window that matches how far ahead customers book with you, put that date next to Valid until, and say what happens after it: the customer asks for a fresh sheet and you send one. On recurring work, let the date cover the first period only, then re-quote at renewal instead of carrying the same page forward for years.
What belongs on the sheet about products and access?
Say who supplies what. If you bring your own products, list them in one line so the customer knows what will be used in their home. If they want their own products used, or want fragrance-free or plant-based products, write that down too, because it changes what you carry through the door. If they supply a vacuum or a mop, note it, so a missing tool is not read as unfinished work.
This is also the place for access facts: where the key is, how the alarm is handled, whether a pet will be in the house, and where to park. Two lines of access notes prevent more trouble than a page of terms.
What if the job turns out to be bigger than the quote?
Stop and write a second sheet. Extra rooms, heavy build-up, or a move-out clean with the furniture still inside are different jobs from the one you described. Put the extra work on its own line, agree it with the customer before the work starts, and keep both sheets. A quote describes a job; it is not permission to absorb every surprise.
